Title:  Administrative Production Specialist
Location: Chantilly, VA / Potomac, MD
Job Type: Full Time

The Administrative Production Specialist will be responsible for all phases of studio and field production coordination for government clients. Working closely with ITI and freelance producers/directors on-site, you will prepare for daily technical studio/field crews, live video broadcasts, and daily coordination/scheduling in the Metro DC area.

The Administrative Production Specialist will produce daily/weekly/monthly reports tracking operating performance against contract budgets. Assist with the pre-production requirements for short-term special projects as well as multi-year contracts with government clients. Scheduling will be maintained via the tracking system for production subcontractors/vendors and scheduling/tracking.

The Administrative Production Specialist will perform as the assistant to the Project Manager utilizing general office duties such as typing reports, scheduling productions, answering phone and email requests. (Production experience scheduling Producer/Directors, A/V Techs and Broadcast freelancers is a plus.)

Requirements:

  • Experience as administrative assistant for video production unit.
  • Extensive experience in using Microsoft Office applications: MS Word and Excel to develop schedules, track expenditures and projects, and prepare and format video production scripts.
  • Experience in preparing correspondence according to guidelines and formats.
  • Communications skills sufficient to talk with headquarters and field clients about Media Unit products and services.

Duties and Responsibilities

  • Answer phone and email requests.
  • Type and prepare correspondence for supervisor, Media Productions.
  • Maintain video master database.
  • Maintain and update Satellite Training Network broadcast schedule.
  • Monitor all incoming mail for proper distribution, ensuring all procurement correspondence and invoices are maintained in office for proper logging and certification
  • Verify that proper receiving reports are attached to invoices when submitted for payment.
  • Maintain Media Unit filing systems correctly and in a timely manner so that materials can be retrieved quickly when needed.
  • Maintain program files of all new and existing projects.
  • Keep Media Unit supplied with all necessary office materials, forms and supplies.
  • Performs other duties as assigned by the COR and/or Project Manager.
    Administrative Production Specialist responsibilities will include working directly with the HR/Office Manager and Business Area Managers. Must have strong multi-tasking skills and proficiency with MS Office, mastery with Excel spreadsheets and Microsoft Word.
