Duties / Responsibilities:
- Review requisitions for completeness, including item description, part number, quantity, manufacturer and vendor. Obtain list price, negotiated cost, shipping costs, weight and cubic feet.
- Generate purchase orders for small and large equipment purchases.
- Distribute copies of purchase orders to accounting, project manager and warehouse.
- Verify purchase order against packing list. Track timelines on purchase orders.
- Maintain vendor information including current status, price lists, discounts, and literature.
- Must be able to operate company vehicles and have a clean driving record.
- Assist project managers and engineering personnel in acquiring additional vendors and establishing vendor relationships.
- Respond to business managers, project managers and engineers on needed equipment costs and services for quotation purposes.
- Work closely with accounting in identifying and resolving vendor issues.
- Reconcile delivery of equipment with warehouse manager, utilizing the Company accounting system (DELTEK).
- Act as receiving agent when Warehouseman is not present
Education / Qualifications:
At least 3-5 years of purchasing experience in a large volume environment.
Preferred: Prior military experience in a television or radio environment with an emphasis on purchasing broadcast and audiovisual equipment. Prior work with Deltek Costpoint is a plus.
Required: Proficiency with MS Office. Mastery with Excel spreadsheets and Microsoft Word is mandatory.
The successful candidate must have a technical understanding of major audiovisual and broadcast systems, with a minimum of 5 years of experience in the electronics field. The Purchasing Assistant will assist in all aspects of the purchasing process to include, but not limited to; researching product information, obtaining vendor sources, negotiating competitive pricing, acquiring multiple quotations, tracking timely delivery, inspecting electronic equipment, product & vendor database management, proposal pricing support, and submitting reports to management. Maintain a close working relationship with project managers, project engineers, business managers, warehouse and accounting personnel to ensure that all purchasing requirements are met in a timely and effective manner. Must have good communications skills, strong customer service experience and be a strong team player. A detail oriented person that is able to multi-task and stay abreast in a fast–paced environment.
